Duties and Responsibilities:
The duties listed here are not all-inclusive; rather, they indicate the types of activities normally performed by this function.

  • Complete and maintain WIP Reports.
  • Get involved in continuing education, seminars and other training.
  • Obtain all permits and licenses necessary in your region.
  • Organize and train support staff on assignments. Clearly delegate responsibilities and expectations to your support staff.
  • Maintain Owner, Architect, Subcontractor and Vendor relations. Foster positive and effective business relationships at all levels and project phases.
  • Through market research and relationships, identify project opportunities.
  • PM’s are to use the standard budget and qualification templates as issued by management to allow for a consistent presentation throughout the company.
  • Prepare Budgets and Financial Reports as directed by management.
  • Maintain company reputation by complying with federal, state and local regulations.
  • Organize and set-up electronic and hard copy project files as required for each project.
  • The intent for the PM position is to provide a full construction manager service from the moment the project is a legitimate idea. The PM is to work in tangent with the Owner to provide support at all levels and phases of the project to assist in winning the project and completing the project as successfully as possible.
  • Provide budgeting, value engineering and constructability reviews to all of our clients.
  • Hold Pre-Construction meetings with all staff and project team members for all projects.
  • PM’s are to take thorough pre-construction photographs as required to effectively depict existing conditions and save the images in file folders as directed by management. In addition, thoroughly photograph the progress of construction. Both on the interior and exterior, each project must be photographed to depict progress and documentation for specific activities, repairs, damages, etc.
  • From pre-construction to project closeout, the PM must verify that project meeting minutes are completed for Owner, Architect and Contractor (OAC) meetings and Subcontractor Coordination Meetings (SCM). The meeting minute format must be recorded on the forms issued by management. All Minutes must be kept on the company’s server in their appropriate project folders.
  • PM’s are to thoroughly document and track each project in all phases. On larger more complicated projects, the PM must keep an Issues Log to track items from design through close-out and accurately and effectively document each occurrence.
  • Organize the logistics, phasing and schedule of each project. Clearly identify the plan for the project with your support staff and identify specific milestones and goals for the project life. Consistently verify projects are on target.
  • Maintain General Contract and Subcontract Documents.
  • Complete and execute all subcontractor and vendor contracts. All contracts must have a detailed scope of work, project schedule (if possible) and shall not have the subcontractor/vendor proposal attached. All scopes and values shall be detailed by the PM unless otherwise agreed by your supervisor.
  • Prepare contracts and negotiate revisions, changes and additions to contractual agreements with owners, architects, consultants, clients, suppliers and subcontractors.
  • PM’s are to analyze the Owner and Subcontracts including conditions, scope and other work information to identify requirements and deliverables, and to highlight areas of risk such as ambiguities, conflicts or deviations from the scope of work. As work proceeds, make recommendations to the project and/or site superintendent on the mitigation of these risks; closely monitor and support remedial actions and recommend appropriate actions in conformance with contract documents.
  • Develop and manage appropriate mechanisms to monitor compliance with contract terms and conditions.
  • PM’s are to develop and manage procedures to recognize and identify contract claims as they develop and manage the timely resolution under the change provisions wherever possible, obtaining claims and legal expertise as appropriate.
  • Interpret and explain construction documents and contract terms to administrative staff, support staff, field staff, and clients representing the owner or developer.
  • Plan, coordinate, direct and supervise personnel, subcontractors, and vendors engaged on projects to ensure work is completed on time, within budget and to the quality specified.
  • Establish and maintain Master Progress Schedules for all projects in your region using Microsoft Project. Analyze, evaluate, and forecast current status against established baseline schedule. Assesse the impacts of design or construction changes and schedule slippages. Report status of schedule to appropriate project and company management, as well as the client.
  • Maintain Quality Assurance and Control and tracking mechanisms.
  • PM’s are to develop specific tracking mechanisms to track issues, RFI’s, Submittals, Addendums, ASI’s and Potential Change Orders.
  • Maintain a safe and clean working environment by enforcing procedures, rules, and regulations. Take action to deal with the results of delays, bad weather, or emergencies at construction site.
  • Perform routine jobsite visits to verify compliance with safety requirements, housekeeping, quality, and a positive appearance of the company. It is the responsibility of the PM to verify a Jobsite Safety Inspection Form is completed weekly and submitted with the Monthly Status Report. Supervise field performance of superintendents, field staff, and subcontractors, including scope, schedule, cost, quality and safety.
  • Assure all field documentation is complete such as Daily Construction Reports, QA/QC Reports, Field Observations, and Notices of Non-Compliance, etc. These field documents should be recorded and distributed to the appropriate parties by the PM and/or support staff.
  • Review and approve construction submittals.
  • Resolve construction technical, schedule, contractual and cost issues.
  • Investigate damage, accidents, or delays at construction sites, to ensure that proper procedures are being carried out.
  • Consult with clients, vendors and personnel in other departments or consult with the superintendent to discuss and formulate estimates and resolve issues.
  • Confer with engineers, architects, owners, contractors and subcontractors on changes and adjustments to cost estimates.
  • Upon project substantial completion, the PM must aggressively pursue project closeout and keep up to date record on the Project Closeout Matrix. The O&M manuals, Record Drawings and Warranty Letters must be accumulated and distributed in the company format as required. A digital copy of the Warranty Letters must be scanned into the project folder.
  • Maintain consistent communication with accounting staff. Accounting should be updated if there are issues with subcontractors or vendors, Owner funding, potential liens, change orders, or other projects that may affect cash flow or other accounting procedures.
  • Stay informed on requirements for Insurance, Safety, Labor Relations, Employee Relations, and maintain EEO compliances, etc.
  • Based upon assignments, travel may be required. Travel expenses are funded by employer.
  • Perform other duties and take on other responsibilities as required.
