The goal of this position is to provide general office support with a variety of clerical activities and related tasks. The receptionist/administrative assistant will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies, data entry, as well as additional clerical duties.

Each individual’s function(s) within the company requires members to be cooperative and helpful to other members. It is expected each member of the team will provide assistance to others as requested and that respect and cooperation will be provided. Education and/or Experience

  • High school diploma
  • One year of administrative experience
  • Experience with construction software preferred but not required

Receptionist/Administrative Assistant – Job Description Detail

Responsibilities Include:

  • Answer telephones and direct the caller to the appropriate associate.
  • Welcome on-site visitors, determine the nature of business and announce visitors.
  • Take and retrieve messages for various personnel.
  • Provide callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.
  • Receive and forward incoming mail; maintain and route publications.
  • Coordinate the pick-up and delivery of express mail services (FedEx, UPS, etc.)
  • Assist in the ordering, receiving, stocking and distribution of office, kitchen and bathroom supplies.
  • Assist with other related clerical duties such as photocopying, faxing, filing and collating.
  • Prepare Estimate Requests.
  • Process Permits.
  • Assist Service Department with requests, invoicing, and accounts receivable collections.
  • Assist Accounts Payable with credit card reconciliation.
  • Assist Payroll with distribution of weekly payroll checks.
  • Assist Marketing – mailing newsletters, flyers and company information.
  • Manage company cell phones and tablets.
  • Keep bulletin boards updated.
  • Maintain general office cleanliness.
  • Keep kitchen area clean and coffee filled.
  • Order lunch for meetings.
  • Obtain and reconcile receipts for laundered office shirts twice weekly.
  • Assist in closing office procedure.
  • Projects and other duties as assigned.
